How to Reply to Google Reviews: Simple Rules and Examples for Local Businesses
How to answer Google reviews the right way: short, personal replies, how to handle a bad review, what Google's own guidelines say, and ready-to-adapt examples for happy, unhappy and fake-looking reviews.
Tool for this: SignTik — Social media, Google Business Profile and SEO run for you, month after month.
People do not only read your star rating. They read what you wrote back. A calm, personal reply to a three-star review often wins more customers than ten five-star reviews with no answer. This guide shows how we reply to reviews for SignTik clients, following Google's own guidelines, with examples you can adapt.
Before you start
- Your profile must be verified before you can reply.
- Replies are public. Google checks each reply against its content policies first, which usually takes a few minutes, and the reviewer is told when you answer.
- Reply as the business, not as a person. Your personal name is not shown.
The five rules
- Reply quickly. Within two days for most reviews, the same day for an unhappy customer.
- Keep it short. Two to four sentences. Nobody reads a paragraph.
- Be personal, not promotional. Mention what they bought or what happened. Google's own advice is to be conversational and not to use replies for deals or promotions.
- Protect privacy. Never share order numbers, phone numbers, health details or anything the customer did not post themselves.
- Take problems offline. Apologise, say what you will do, and give a way to reach the owner or manager directly.
Examples you can adapt
A happy customer
A short five-star review with no text
A mixed review (good food, slow service)
An unhappy customer
A review that does not look like a real customer
Then flag the review in your profile if you believe it breaks Google's policies. Do not argue in public.
What not to do
- Do not offer anything for a review. Discounts, free items or gifts in exchange for reviews are strictly against Google's rules, and so are reviews from staff or family.
- Do not copy and paste the same thank-you to every review. It looks automatic and tells readers nothing.
- Do not stuff keywords ("best bakery in Lahore cheap cakes") into replies.
- Do not reply angry. Write the reply, wait an hour, read it again.
How to get more reviews (the right way)
- Ask at the right moment: when the customer says thank you, when the job is delivered.
- Share your review link or QR code from your Business Profile on receipts, the counter and WhatsApp follow-ups.
- Ask every customer, not only the ones you think are happy. Steady, real reviews count more than a sudden burst.

| Day | Task |
